How to Look Up a Court Case in Warren County?

Warren County’s judicial system includes the Court of Common Pleas (General Division), the Domestic Relations Court, the Probate and Juvenile Court, the Warren County Court, three municipal courts, and several mayor’s courts. Each court tracks its own caseload, but the primary custodian of Common Pleas records is the Clerk of Courts, while the County Court and the Probate Court each maintain their own filing systems.

Online case-search portals

The most efficient way to locate a case is through one of the county’s two main online databases:

  • Common Pleas Court Case Inquiry — covers civil, criminal, and domestic relations matters filed in the General Division. Case histories are available for filings dating back to May 1991; for cases between 1980 and May 1991, only case numbers and captions appear, and fuller details may require an office visit. The docket updates at least three times during each business day and once overnight.
  • Warren County Court Record Search — covers criminal, traffic, and civil cases handled by the County Court. Users can search by party name, case number, citation number, vehicle tag, or driver’s license number.

Both portals are free to use. When searching by name, entering a first and last name is typically sufficient. Optional filters allow narrowing results by date range, court type, cause of action, party type, division, or statute number.

In-person access

Any member of the public may visit the courthouse where the record is maintained during business hours. The County Court also provides a public-access computer terminal; users must present a business card or government-issued ID and sign a registration log before using it.

Mail and phone requests

Written requests may be directed to the clerk’s office responsible for the case type. Include the case number (if known), party names, and a self-addressed stamped envelope for return of copies. Paper copies cost $0.05 per page for photocopies, and certified copies from the Common Pleas Clerk are $1.00 per page. Actual postage costs are added for mailed responses.

Warren County Court hours are Monday through Friday, 8:00 AM to 4:00 PM, excluding holidays. The Common Pleas Court follows an 8:00 AM to 4:30 PM schedule. The Probate Court’s hours are 8:00 AM to 4:00 PM, and applicants are asked to arrive by 3:45 PM for services such as marriage license applications.

Are Court Records Public in Warren County?

Ohio law creates a strong presumption that court records are open for inspection and copying. Ohio Revised Code §149.43 defines public records broadly and requires public offices to make them available at reasonable times during regular business hours. Court records are further governed by the Rules of Superintendence for the Courts of Ohio, particularly Rules 44 through 47, which set out definitions, access standards, and confidentiality protections specific to records held by court clerks.

Under Rule 45, Divisions © and (D), certain categories of information are treated as confidential and are not available for general public inspection. These restricted categories include, among others:

  • Personal identifiers of juveniles in custody or pending disposition, along with juvenile social histories, civil commitment records, and post-adjudicatory treatment facility reports
  • Medical and psychological evaluation reports submitted to the court
  • Personal notes, memoranda, and recommendations of judicial officers and court staff
  • Unexecuted warrants and related execution documents
  • Drug and alcohol use assessments and pre-disposition treatment records
  • Guardian ad litem records and reports
  • Home-study investigation reports and domestic violence risk assessments
  • Child custody evaluation reports
  • Financial disclosure documents reflecting property, debt, income, expenses, and tax information
  • Asset appraisal and valuation records

Parties to a case or their attorneys may obtain copies of confidential filings in the case under Warren County Court Local Rule 5.02, but they may not remove originals from the clerk’s office.

Under Rule 45(D), any person filing documents with the court bears responsibility for omitting or redacting personal identifiers — such as Social Security numbers, financial account numbers, and dates of birth of minors — before submission. The court itself does not perform redaction on behalf of filers.

Copy fees for paper records are set at $0.05 per black-and-white page for regular photocopies. Certified copies from the Common Pleas Clerk cost $1.00 per page. Color copies, where available, are $0.75 per page. Postage is charged at actual cost when copies are mailed.

Warren County Criminal Court Records

Criminal cases in Warren County are divided among several courts depending on severity. Felony charges are prosecuted in the General Division of the Court of Common Pleas at 500 Justice Drive, Lebanon. Misdemeanor offenses may be filed in the Warren County Court, one of the three municipal courts, or one of the seven mayor’s courts operating in Maineville, Springboro, South Lebanon, Waynesville, Carlisle, Harveysburg, and Morrow.

Searching criminal case records

To locate a criminal case filed in the Common Pleas Court, use the Common Pleas Court Case Inquiry portal. Select “Criminal” under “Court Type” and, optionally, narrow results by choosing “Felony” under cause of action. The County Court’s online search covers misdemeanor and traffic cases within its townships.

Criminal record sealing

Ohio permits eligible individuals to apply for sealing (expungement) of certain criminal records. At the Common Pleas level, the filing fee for a criminal case sealing application is $50.00. Credit and debit card payments carry a 2.5% transaction fee. No personal checks are accepted. Applicants must bring a photo ID and know their exact mailing address for results. A parent or guardian must accompany anyone under 18. Reason codes for the background check type are required — refer to the BCI reason code list or the FBI reason code list published by the Attorney General’s office. Results are mailed directly from BCI/FBI and may take two weeks or longer.

Local background checks

The Sheriff’s Office also provides local background checks at no charge. These checks cover Warren County arrest records only and do not include state or federal databases. Requests may be submitted in person, by phone, by mail, by email, or by fax. Written requests may speed processing. The Sheriff’s Office asks that requesters describe the record in detail, including any report number, subject names, dates, and offense information.

Warren County Civil Court Records

Civil matters in Warren County are split between the County Court and the Court of Common Pleas based on the amount in controversy. The County Court handles civil claims with a monetary value up to $15,000, including small claims up to $6,000. Civil actions exceeding $15,000, along with foreclosures, injunctions, and other equity matters, are filed in the General Division of the Common Pleas Court.

Civil case records from both courts are searchable through the respective online portals. On the Common Pleas inquiry system, select “Civil” under court type to filter results. Warren County Family Court Records

The Warren County Domestic Relations Court, a division of the Court of Common Pleas, adjudicates matters including divorce, dissolution of marriage, legal separation, annulment, spousal support, child custody, child support, parental rights modifications, parentage actions, and civil protection orders. Proceedings are governed by the Domestic Relations Local Rules.

Forms for domestic relations filings are available through the court’s Document Center. Local Rule 1.1(B) requires that all initial and final pleadings include the names, addresses, email addresses, and dates of birth of both parties.

Searching family court records

Divorce, dissolution, and other domestic relations cases appear in the Common Pleas Court Case Inquiry system. To narrow results, select the appropriate cause of action — for example, “Dis Mar No Children” or “Dis Mar With Child” — under the case type filter. Sealed records and sensitive case files involving minors are restricted; only parties, their counsel, the presiding judge, and certain authorized entities may access them.

Marriage licenses

Marriage licenses in Warren County are issued by the Probate Court at 900 Memorial Drive, Lebanon, OH 45036. Both applicants must appear together during business hours (Monday–Friday, 8:00 AM – 4:00 PM; arrive by 3:45 PM). The license fee is $50.00, payable in cash only. Requirements include government-issued photo identification for each applicant, proof of residency for at least one applicant, and a time-stamped copy of the most recent divorce decree if either party was previously married. No blood test or waiting period is required. The license is issued the same day and remains valid for 60 days. An online marriage application can be started in advance. Certified copies of an existing marriage license cost $2.00 each (cash, money order, or credit card with transaction fee; no personal checks). Copies can be requested in person, by phone at (513) 695-1183, or by mail to the Probate Court with payment and a self-addressed stamped envelope.

Birth and death certificates

Although not court records, birth and death certificates are often needed alongside family court filings. The Warren County Health District issues certified copies for all Ohio births and for deaths occurring within the county (excluding Atrium Hospital). The office is located at 416 South East Street, Lebanon, OH 45036. Certified copies of birth or death records cost $22.00 each. Payment methods include cash, checks, money orders, and credit cards (credit cards carry an additional fee). Online orders can be placed through VitalDirector with a $4.00 non-refundable convenience fee. Per ORC §3705.23, death records filed within the previous five years have the Social Security number redacted unless the requester proves a qualifying relationship using the Proof of Relationship Verification Addendum and a photo ID. Warren County Probate Court Records

The Warren County Probate Court, housed at the Probate/Juvenile Justice Center at 900 Memorial Drive, Lebanon, OH 45036, has jurisdiction over a broad range of matters. The court can be reached at (513) 695-1180 (fax: (513) 695-2945). It has been in continuous operation since 1835, making it one of the oldest courts in Ohio.

Types of cases handled

The Probate Court’s docket includes estate administration (both full administration and summary release), guardianship of incompetent adults and minors, trusts, adoptions, name changes, wrongful death settlement approvals, claims involving minors, mental-health-related petitions, adult protective services determinations, disinterment applications, and the issuance of marriage licenses.

No personal checks are accepted, and money orders must be no more than 90 days old. Publication fees for estates are $200.00 (three publications); for civil matters, $300.00 (six publications). Each probate case is unique and may incur additional charges beyond the standard schedule.

Searching probate records

The Probate Court maintains its own online record search. Users can search by the first and last name of a party, by case number (enter digits only, without dashes or letters), or by file date (all month, day, and year fields must be filled in). The database covers cases handled by the Probate Division, including estates, guardianships, adoptions, name changes, and trust matters.

For records not available online, written requests may be mailed to the Probate Court at 900 Memorial Drive, Lebanon, OH 45036. Include the case number or the full name of the decedent or ward, the document title requested, and payment. A self-addressed stamped envelope should accompany mail requests. Property records

While not probate records, property ownership documents are frequently relevant in estate proceedings. Online searches are available through the Recorder’s AVA portal, where users can look up deeds and liens by parcel number, grantor, or grantee name.
